n8n vs Zapier: Which One Should You Choose in 2026?
Checked September 26, 2026. n8n publishes cloud prices in euros and Zapier in US dollars; figures are not currency-converted. Based on published pricing and documentation, not a hands-on build. Jet Admin publishes this comparison and competes with neither product directly.
These two automate the same kinds of work, but they count it in completely different ways, and that single fact decides most of the money.
Zapier bills every qualifying step in a Zap. n8n bills one execution per workflow run, however many steps it contains. A ten-step workflow that runs a thousand times a month is roughly 10,000 Zapier tasks and exactly 1,000 n8n executions. Nothing else in this comparison moves the number that much.

How each one counts your work
n8n: one execution per run
n8n's documentation is unambiguous: "An execution is a single run of your entire workflow. It doesn't matter how many steps are in the workflow or how much data it processes."
Monthly executions = sum of runs per month across every active workflow.
Complexity is free. There is no billing reason to consolidate nodes or avoid a branch. There is a strong billing reason to avoid running a workflow more often than the business needs — a schedule set to every five minutes instead of hourly costs twelve times as much for identical output.
Zapier: one task per qualifying action
Zapier bills qualifying successful actions. Built-in Filters, Paths, Formatter, Tables and Forms are listed as zero-task tools, and triggers and polling are not charged.
Monthly tasks ≈ billable steps per run × runs per month, summed across every Zap.
Tasks are pooled across Zaps, AI steps, code, MCP and the SDK, so adding an AI step quietly raises the cost of a workflow you had already budgeted.
What the same workflow costs on each
Illustrative from published rates. Take one lead-routing workflow: a form submission is enriched, a condition is checked, a CRM record is created and Slack is notified.
At 300 runs a month
| n8n | Zapier | |
|---|---|---|
| Billable units per run | 1 execution | 4 tasks (the condition uses a free Filter) |
| Monthly consumption | 300 executions | 1,200 tasks |
| Plan needed | Starter, €20/month | Professional — multi-step is required |
Note that Zapier's free plan cannot run this at all, and not because of the task count: four steps exceed its two-step limit. That limit, rather than task exhaustion, is what usually forces the first Zapier upgrade.
At 2,000 runs a month, with two more steps
| n8n | Zapier | |
|---|---|---|
| Billable units per run | 1 execution | 6 tasks |
| Monthly consumption | 2,000 executions | 12,000 tasks |
| Plan needed | Starter still fits (2,500 included) | 10K tier exceeded — next tier up |
This is the shape of the whole comparison. Adding two steps changed n8n's bill by nothing and Zapier's by 50%. Conversely, running the same four-step workflow far more often hurts n8n proportionally, because frequency is the only thing it charges for.
Where each plan's limits actually bite
n8n
| Plan | Monthly, billed annually | Executions | Concurrency | Notable |
|---|---|---|---|---|
| Community | €0, self-hosted | No vendor limit | Your infrastructure | You run and maintain it |
| Starter | €20 | 2,500 | 5 | Unlimited users, 2,300 AI credits |
| Pro | €50 | 10,000 | 20 | Best value per execution |
| Business | €667 | 40,000 | Higher | Self-hosted licence; SSO/SAML/LDAP, Git, environments |
| Enterprise | Not published | Custom | 200+ | n8n-hosted or self-hosted, SLA |
Concurrency bites before volume on Starter: five concurrent executions is fine for scheduled work spread through the day and uncomfortable for anything bursty. Business is a 13× price step for 4× the executions — it sells governance, not capacity.
Zapier
| Plan | Monthly / annual equivalent | Notable |
|---|---|---|
| Free | $0 | 100 tasks; two-step Zaps only |
| Professional | From $29.99 / $19.99 | Multi-step, webhooks, premium apps, AI fields |
| Team | From $103.50 / $69 | 25 users, shared connections, SAML SSO |
| Enterprise | Not published | Unlimited users, annual task limits, observability |
Entry prices are quoted at the lowest task tier and rise with the tier you select, so treat $19.99 and $69 as starting points rather than the price at volume. Exceeding your limit moves you to pay-as-you-go unless you turn that off.
Beyond price: what actually differs
Connector breadth favours Zapier, and not marginally. If your stack includes a long tail of niche SaaS tools, Zapier is more likely to have the integration already built, and that saves real time.
Users favour n8n. Unlimited users on paid cloud plans versus 25 on Zapier Team is a meaningful difference once automations are shared infrastructure rather than one person's project.
Self-hosting is n8n only. The Community Edition is genuinely free with no vendor execution limit — but free software is not free operation. You provide the server, database, backups, monitoring, upgrades and the person who fixes it at 2am. Price that honestly against €20 a month before choosing it to save money.
Approachability favours Zapier. n8n's node-based canvas rewards technical users; Zapier's linear builder is easier for someone who does not think in graphs.
Which should you choose?
Choose n8n when workflows are complex, when many colleagues need access, when data residency requires self-hosting, or when your automations are elaborate rather than merely numerous. Its per-run pricing is decisively cheaper for multi-step work.
Choose Zapier when you need breadth of connectors, when non-technical colleagues will build the automations themselves, or when your workflows are short and simple enough that per-step billing stays cheap.
Do the arithmetic before deciding. List your workflows, count billable steps and monthly runs, and calculate both ways. The ratio between the two answers is usually larger than people expect.
Where Jet Admin fits
Both are automation engines. Neither gives your operations team a screen to work in — they move and transform records between systems, then stop. Jet Admin builds the interface where people review, approve and act on what the automation produced, over a database or API you already have.
| Priority | What to evaluate |
|---|---|
| Machine-to-machine sync with no human step | n8n or Zapier alone. Jet Admin adds nothing here |
| A process where somebody reviews or approves | Automation plus an interface. Cost them together, not as a replacement |
| Many colleagues need access | Jet Admin includes unlimited users; n8n does on paid cloud plans; Zapier Team caps at 25 |
| Entry paid plan | Jet Admin Pro $20/month ($16 annually); n8n Starter €20; Zapier Professional $29.99 |

One interaction is worth testing rather than assuming: workflows whose only purpose is copying records somewhere a person can read them are pure metering cost on either platform. If that data gets a real interface, some of those scheduled runs stop being necessary — verify it against your own workflow list.
Frequently asked questions
Is n8n cheaper than Zapier?
For multi-step workflows, usually and often by a wide margin, because n8n charges once per run regardless of steps. For very simple two- or three-step automations the gap narrows considerably.
What counts as a task in Zapier?
Each qualifying successful action. Built-in Filters, Paths, Formatter, Tables and Forms are zero-task, and triggers and polling are not charged.
What counts as an execution in n8n?
One complete workflow run, regardless of how many nodes it contains or how much data it processes.
Is n8n really free?
The self-hosted Community Edition is free with no vendor execution limit. Cloud plans start at €20 a month billed annually. Self-hosting still costs infrastructure and staff time.
Which has more integrations?
Zapier, by a considerable margin. If your stack depends on niche tools, check both catalogues against your actual list before deciding on price.
Does either charge per user?
n8n includes unlimited users on paid cloud plans. Zapier's Team plan includes 25 users, with unlimited reserved for Enterprise.
Count steps and runs before you commit
The fastest way to settle this is a spreadsheet: every workflow, its billable steps, its monthly runs. Multiply one way for Zapier tasks, sum the other way for n8n executions, then price both. The decision usually makes itself.
If that list shows workflows built mainly so somebody has something to look at, build that view directly on your data with Jet Admin and see which runs you can retire.
