Budibase Review 2026: The $5 Per End User Catch

Budibase builds internal tools over your own data, and it comes in two forms: a free open-source version you self-host, and a managed cloud service starting at $19 a month.

The $19 figure is the one you will see quoted, and it is misleading for most real deployments. End users are $5 each per month, and additional creators on the Premium plan are $50 each — more than the plan itself.

What is Budibase?

Budibase is a low-code platform for internal applications, connected to databases and APIs you already run. Its open-source core can be self-hosted at no licence cost; Budibase Cloud is the managed alternative.

That split is the most important thing about it commercially: the free option is not a trial, it is the whole product on your own infrastructure.

Budibase's key features

1. Free self-hosted open source

No licence fee, no user caps imposed by billing, no action limits. You pay in infrastructure and operational effort instead. For teams with DevOps capability, this is the strongest offer in this review series.

2. Cloud plans with published limits

Pro at $19 a month annually includes 5,000 actions, 2,000 AI credits, 1 creator and 1 workspace. Premium at $49 raises that to 20,000 actions, 10,000 credits and 10 workspaces. Business at $299 includes 250,000 actions, 50,000 credits and 3 creators.

3. Creator and end-user distinction

Creators build; end users use. Both are charged on Cloud — creators at $50 each on Premium, end users at $5 each per month.

4. Hard action limits

Actions are capped with no overage billing. Exceeding your allowance stops work rather than increasing your invoice.

Budibase pros

The open-source version is a real alternative, not a teaser

Self-hosting Budibase costs nothing in licence fees and removes every per-user charge. If you have the infrastructure capability, this is how to use Budibase — and it is a genuine reason to prefer it over closed platforms, including ours.

Hard limits protect you from surprise bills

This is an unusual advantage worth naming. Platforms with overage billing can quietly produce a bill several times your plan. Budibase cannot: when you hit the action limit, you stop. That is worse for availability and better for budget certainty, and which you prefer depends on your risk appetite.

Limits are published in numbers

Actions, credits, creators and workspaces are all specified, which makes modelling possible.

Premium's workspace count is generous

10 workspaces on a $49 plan suits teams with several separated environments or departments.

Budibase cons and limitations

End users at $5 each transform the price

This is the detail that matters most. Internal tools typically have many more users than builders — that is the point of them. At $5 per end user per month, a tool used by 40 people costs $200 on top of your plan.

Worked out: Pro at $19 plus 40 end users at $5 is $219 a month. The plan is 9% of the bill. What to do: count your intended end users first and multiply by $5. Compare that total, never the $19.

Extra creators cost more than the plan they sit on

Premium is $49 a month and includes one creator; each additional creator is $50. A three-person build team on Premium is $49 + $100 = $149.

Why this is odd: the marginal creator costs slightly more than the entire base plan. There may be a rationale, but the effect is that team growth is expensive.

Hard limits mean interruption risk

The flip side of budget certainty: if a busy month exhausts 5,000 actions, your tool stops working until the period resets or you upgrade.

What to do: size your action allowance with headroom, not precision. Unlike Strapi, you cannot simply pay a small overage.

Pro is a single-creator, single-workspace plan

One creator and one workspace makes Pro effectively an individual plan. Any real team starts at Premium.

A worked total. A team of 3 builders and 50 end users on Premium: $49, plus $100 for two extra creators, plus $250 for end users — $399 a month. The same deployment self-hosted on open source: infrastructure costs only. That gap is the honest argument for self-hosting Budibase, and it is a large one.

When Budibase is the better choice

If you can self-host, Budibase's open-source version costs nothing and has no per-user charges at all. No commercial platform can compete with free, and we are not going to pretend otherwise. That is the right choice for teams with infrastructure capability and a large user base.

Who should use Budibase — and who should compare alternatives?

Good fit: teams who can self-host the open-source version; individuals or very small teams on Pro; organisations who prefer hard limits over surprise bills; deployments with few end users.

Compare alternatives if: you need managed hosting with many end users — the $5 per user adds up fast; you have several builders and $50 per creator is unattractive; or you cannot tolerate a tool stopping at an action limit.
